Whether for compliance, increased productivity, or simple convenience, businesses are becoming increasingly aware of the need to manage and store electronic mail. There are several mail archiving products available on the market, but none can match the power, features, and value of VaultMail, designed specifically for the Laserfiche document management system.
VaultMail is an intelligent archiving solution which can be tailored to the needs of your business. The full version offers an unlimited number of archiving rules, making it possible to archive using multiple folders with variable levels of access security and indexing detail. The basic version archives email using a single catch-all archiving rule and stores messages in a single Laserfiche folder. Both have been optimized for use by teams, stand-alone offices, and enterprises.
VaultMail supports automatic indexing of messages and attachments, and flexible storage by rule, sender, or recipient. Retrieval is accomplished using Laserfiche's powerful search template, or through text searching. Storage capacity issues are addressed by automatic removal of duplicate messages and message linking through shortcuts. VaultMail's advanced retention management and audit trail features provide invaluable assistance in today's complex compliance environment.
VaultMail is compatible with MS Exchange, Lotus Notes, Groupwise, Mail Sweeper, and other SMTP and Queue based email systems. The product works seamlessly with Laserfiche as well as a stand-alone archiving solution, allowing businesses to integrate corporate email into the same Laserfiche document management solution used for forms, letters, and instructions. The combined power of VaultMail and Laserfiche allows organizations to benefit from a single, well-managed and full-featured repository for searching, retrieval, reporting, and retention of key business information.
VaultMail may be further optimized through an optional database linking engine which allows the archiver to add additional information from a CRM or customer database to the index card. By supporting ODBC, a wide range of databases can be accessed, such as MS Access, MS-SQL, Oracle, and most standard accounting and CRM applications.
The
powerful search and security capability of Laserfiche enables VaultMail to
deliver numerous business benefits. For example:

A company director could search all emails sent by all staff to any given client, on a given topic and gain a comprehensive picture of correspondence on the topic.
A compliance manager would have access to all emails between his organization and a client and could demonstrate when it was sent, to whom and the message contents.
System managers can enforce house keeping on email systems safe in the knowledge that a well ordered archive of messages is being maintained.
Administration teams can instantly search “team” emails enabling better customer support and ensuring knowledge is shared.
When integrated with a customer database and document management system it is possible to perform a single search to find emails, forms, letters and instructions thereby create an up-to-date electronic client filing system.
